Invoices

Find an invoice or credit note, download or resend it, and ask for a correction.

The Invoices screen lists every document issued to your organization: tax invoices and export invoices for top-ups, plan invoices, and credit notes. Which invoice you receive and how tax is worked out is covered in Billing basics.

An issued document never changes. Your GSTIN is printed as it was on the organization when the document was issued. A mistake is fixed with a credit note and a reissued invoice, both of which appear in this list beside the original.

Find a document

Documents are grouped by the month they were issued, newest first. To see one month only, pick it in the Month box at the top right. Clear the box to see everything again. Older invoices at the bottom of the list loads earlier documents.

Each row shows:

ColumnWhat it shows
NumberThe document number. A credit note also reads "against" with the invoice it credits, and a reissued invoice reads "reissue of" with the one it replaces.
Kindtax invoice, export invoice, plan invoice or credit note.
DateWhen it was issued.
Taxable, Tax, TotalThe amounts in the document's currency. Hover over the tax for the split that applied.
Statuspaid, issued, partially credited or credit noted. When part of an invoice has been credited, the credited amount is shown below.
e-invoiceThe state of the Indian e-invoice registration when it applies: IRN, IRN pending or IRN failed. Hover over IRN to read the number. A failed registration is retried by our finance team; you do not need to do anything.

Download or view

On a row, PDF downloads the document and view opens it in a new browser tab.

For the first minute after a document is issued, the row can read "generating…" in place of these links while the PDF is prepared. Reload the screen shortly after.

Resend by e-mail

Press resend on a row. The document is sent to your organization's billing e-mail address with the PDF attached, and the link changes to "sent to" followed by the address it went to. Any member of the organization can do this.

To change where invoices are sent, update the billing e-mail under Organization.

Ask for a correction

If the legal name, GSTIN or address on an invoice is wrong, ask for it to be corrected. This needs the owner, admin or billing role.

  1. Press Something wrong on this invoice? on the invoice's row. Credit notes do not have this link.
  2. In the panel that opens, fill in what should change: Correct legal name, Correct GSTIN and Correct address (one line per row). Leave a field empty if it is already right. The current values are shown as placeholders.
  3. Under What is wrong, describe the problem. This field is required.
  4. Press Request correction.

The panel confirms with a ticket reference. Our finance team replies to your billing e-mail. When the correction is made, a credit note for the original and a reissued invoice with the corrected details appear in the list. The original stays as it was issued.

Correct the details on the organization itself as well, under Organization, so that later invoices are right.

Credit notes

A credit note is issued when:

  • you refund a top-up from the Credits screen, for the amount refunded and its tax;
  • an invoice is corrected, for the whole of the original.

Credit notes appear in the same list with the kind credit note, and the invoice they credit is named under their number. You can download, view and resend them like any invoice.
